Workspace lifecycle
Also known as: lifecycle management, workspace management
The workspace lifecycle is the full journey of a collaboration space, such as a Microsoft Teams team, Microsoft 365 group, or SharePoint site, from request and creation through active use to eventual archival or deletion. Managing the lifecycle means applying consistent naming, ownership, and expiry rules so workspaces do not accumulate unchecked. Good lifecycle management prevents sprawl, reduces stale content and orphaned data, and keeps the tenant tidy, secure, and easier to govern over time.
Every Team, group, and site has a life: someone requests it, people use it, and eventually it goes quiet. Without a managed lifecycle, abandoned workspaces pile up, each one holding data that still needs to be secured and reviewed.
Why it matters
Sprawl is more than clutter. Orphaned and stale workspaces widen the attack surface, complicate oversharing cleanup, and make it harder for Copilot to surface the right, current content.
