See who last changed a file

Last updated Reports SharePoint OneDrive

AI summary

Build a report that shows each file in SharePoint and OneDrive with who changed it last and when. This helps you track recent file changes and verify compliance, though it shows only the latest modification, not a full activity history.

Build a report that shows, for each file, who changed it last and when.

Before you begin

  • Your Rencore role needs the permissions to create reports. See Rencore roles.
  • SharePoint and OneDrive are connected. File data needs the Files & Folders add-on.

Steps

To see who last changed your files, you will need to:

  1. Go to Reports > Add Report.
  2. Click Create Custom Report. See Create a Custom Report.
  3. On the “Logic” screen, select the SharePoint object “File”. For OneDrive, select the OneDrive object “File”.
  4. Add filters to narrow the files, for example on “Site Url”, “List Name” or “File Extension”.
  5. To see the files one person changed, add a filter on “Modifier”.
  6. Click Preview, then click Next.
  7. On the “Visualization” screen, choose a table and show “File Name”, “Modifier”, “Modified By Name” and “Modified”.
  8. On the “Details” screen, give the report a title, then click Save.

What you see

Each row shows a file with the person who changed it last and the date of that change. You can share the report or export the data to PDF or Excel.

Limits

  • The report shows the last change only, as of the last file scan. It is not an activity history.
  • Opened, viewed and downloaded events are not in the inventory. Use Microsoft Purview for those.
  • The person is shown by their user principal name in “Modifier”.

Frequently asked questions

What do I need before I can build a report on who last changed a file?

Your Rencore role needs the permissions to create reports, and SharePoint and OneDrive must be connected. File data also needs the Files & Folders add-on.

How do I show only the files that one person changed last?

On the "Logic" screen, select the "File" object and add a filter on "Modifier". You can add more filters, such as "Site Url", "List Name" or "File Extension", to narrow the files further.

Can the report show who opened or downloaded a file?

No. The report shows only the last change, as of the last file scan, and is not an activity history. Opened, viewed and downloaded events are not in the inventory, so use Microsoft Purview for those.
